We are looking for a motivated and detail-oriented Purchasing Assistant to support the procurement team by assisting with sourcing, purchasing, supplier coordination, and maintaining accurate procurement records to ensure smooth purchasing operations.
Key Responsibilities:
• Assist in sourcing products and suppliers based on company requirements
• Obtain and compare supplier quotations to ensure cost-effectiveness and quality
• Prepare purchase orders and coordinate the approval process
• Track purchase orders from placement through to delivery
• Communicate with suppliers regarding order confirmations, shipping schedules, and delivery status
• Follow up on delayed shipments and resolve issues related to damaged or incorrect deliveries
• Maintain positive relationships with suppliers and support vendor communications
• Assist in identifying new suppliers and maintaining an up-to-date vendor database
• Monitor inventory levels to help prevent stock shortages and overstocking
• Maintain accurate purchasing records, including purchase orders, invoices, receipts, and delivery notes
• Update procurement systems with order details, supplier information, and delivery records
• Analyze market prices and supplier quotations to identify cost-saving opportunities
• Ensure purchased goods meet company quality standards and procurement requirements
• Prepare procurement reports, purchasing documentation, and cost analyses
• Ensure compliance with company procurement policies and procedures
Qualifications:
• Diploma in Business Administration, Supply Chain Management, Procurement, Logistics, or a related field
• Minimum 1–2 years of experience in procurement, purchasing, supply chain, or a similar role
• Strong organizational, communication, and negotiation skills
• Proficient in MS Office and purchasing or ERP software
• Knowledge of inventory management, vendor coordination, and procurement processes is an advantage
• Detail-oriented, proactive, and able to work independently as well as part of a team
