Job Description
Join our team as an Accounts and Admin Assistant!
Qualifications and Requirements:
• A ‘Level or Diploma in Accounting or Business Administration, or a related field.
• 2-5 years of proven work experience in an accounting/ finance role or admin role.
• Working knowledge of Excel data analysis formulas.
• Proficient in QuickBooks and Microsoft Dynamics 365 Business Central.
• Proficient in MS Office (Word, Excel, Outlook) and basic digital tools.
• Ability to multitask and work independently with minimal supervision.
Key Responsibilities
Accounts:
• Keep track of all payments and expenditures, purchase orders, invoices, statements, receivables, etc.
• Manage and document all financial transactions by entering accurate account information.
• Reconcile accounts payable and accounts receivable.
• Reconcile processed work by verifying entries and comparing system reports to balances.
• Ensure timely bank payments and schedule vendor cheques while tracking outstanding credits.
• Compute taxes and prepare tax returns.
• Prepare financial analysis of accounts and generate comprehensive monthly reports.
• Monitor accounting status using management tools and software.
• Maintain accounting controls by complying with financial policies and regulations.
• Record and settle invoices within the assigned perimeter and timeframe, following standard accounting and tax practices.
• Assist with periodic audits of financial transactions, employee expenses and internal documents.
Administrative:
• Manage daily office administrative tasks, including filing, document preparation, and record keeping.
• Assist with procurement-related documentation and follow-up with suppliers when required.
• Handle incoming/outgoing communication, including phone calls, emails, and internal correspondence.
• Schedule and coordinate meetings, including managing the Managing Director’s appointments, calendar, and related arrangements.
• Prepare letters, reports, and other official documents.
• Maintain office supplies and support operational logistics.
• Assist HR with tasks such as employee file management and visa-related documentation.
• Assist in the management and coordination of company projects, including tracking progress, preparing updates, and supporting communication with councils, ministries, and stakeholders.
• Provide administrative support to management and project teams as needed.
